Primary Purpose:

This position is primarily responsible for coordination and follow up of general services functions at the CWS Kasulu office in accordance with CWS standard operating procedures. The position is responsible for direct oversight of the General Services department, which includes Property and Logistics.

 

Essential Duties:

Management and supervision

  1. Provides direct supervision, training, and feedback to Drivers and Janitors.
  2. Ensures adherence to policies and standard operating procedures (SOPs) to ensure the accountability, transparency, and efficiency of RSC Africa, and to ensure compliance with the Cooperative Agreement, relevant United States Government (USG) and CWS policies.
  3. Oversees the process of monthly projections, including procurement, travel projections and property issues, and ensures compliance with US government requirements.
  4. Works closely with the Administration Supervisor to plan work, resolve issues, conduct root cause analysis, and ensure systems improvements
  5. Works closely with the Finance Manager and Administration Supervisor to perform regular compliance checks
  6. Ensures General Services unit’s compliance with Fileserver organization and group email protocols.
  7. Ensures that the General Service unit is compliant with applicable organizational and unit-specific SOPs.
  8. Plans and executes annual process reviews for the Janitors, and the Drivers.
  9. Ensures there is an organized and robust training strategy for the General Services unit, inclusive of targeted capacity building to increase professional skills of General Services positions
  10. Supports with property management and/or landlord concerns.

 

Budget

Participates in annual budgeting process by projecting and costing Property and travel budgets for CWS Kasulu office.

  1. Monitors travel budget for Tanzania and reports any additional costs

 

Physical Assets

  1. Responsible for requisition, maintenance, and inventory of expendable and non-expendable equipment
  2. Provides Quality Control checks on Purchase Orders to ensure correct budget line allocation and that all information and supporting documents are adequate and correct
  3. Reviews all contractual agreements for goods and services, equipment and insurance, and maintains copies of all relevant contracts
  4. Ensures that all adequate insurance is arranged for all property and personnel and other liabilities in accordance with US and Tanzanian laws
  5. Ensures that adequate inventory levels are maintained for all supplies
  6. Liaises regularly with the property management company and/or the landlord to ensure services are delivered and accounted for properly

Travel Logistics

  1. Performs travel and logistics functions for CWS Kasulu office including flight bookings, hotel reservations, coordinating ground transports, processing Visas and invitation letters for CWS staff and visitors, and preparing travel authorizations for all travelling staff.
  2. Maintains a tracking system for all vendor invoices to ensure they are captured and processed in a timely manner and conducts vendor reconciliations on a quarterly basis.
  3. Use ERP system to raise logistics requisitions, review payments and reconcile vendors.
  4. Works closely with Procurement and Accounts to ensure vendor payments are processed as per policy.
  5. Regularly reviews travel expenses while renegotiating with vendors for competitive rates.
  6. Reviews CWS trip reports and communicates follow-up items to the Administration Supervisor.Other Functions
  1. Performs other duties that may be assigned to enhance the quality and efficiency and maintain the high professional standards of RSC Africa and CWS.

 

Qualifications

\Experience:

  • Minimum of four (4) years of relevant work experience required.
  • Previous supervisory experience, especially with an international NGO is an added advantage.
  • Previous administrative experience and knowledge of Amadeus booking tool is preferred.
  • Knowledge of Tanzania laws and customs preferred

Skills:

  • Strong computer skills, in particular Microsoft Excel, Word, Outlook and Access required
  • Excellent organizational and time management skills
  • Strong verbal and written English language skills
  • Demonstrated organizational and time management skills

Education & Certifications:

  • Bachelor’s Degree or equivalent in Finance, Accounting, Business Administration, Public Administration or a related field is required.Abilities:

  • Analyze and solve complex problems and make sound decisions;

  • This position is based in Kasulu Tanzania

  • This position may require travel in sub-Saharan Africa on short notice and under sometimes difficult conditions to meet demands of a dynamic operational program

Position Title: Snr Administrative Assistant

Primary Purpose:

This position is responsible for running and coordinating the day-to-day administrative duties of CWS Kasulu office. This includes providing administrative support to the administration unit and assisting in finance functions at the CWS Kasulu office.

Essential Duties:

Administration

  • Coordinates office activities and operations to secure efficiency and compliance to CWS Africa policies and procedures.
  • Assists in quarterly stock-take of Inventory and preparation of a report on variances.
  • Assists with logistics functions including but not limited to making travel bookings, raising requisitions, updating the travel tracking sheet etc.
  • Assists in preparing for high-level meetings e.g. Partner’s meetings. This includes organizing visitor’s snacks/lunches as requested, and preparing materials and/or reports needed (if any)
  • Liaises with the General Services Unit to ensure drivers are on stand-by to pick or drop visitors, staff, and/or equipment/supplies to various destinations as required.
  • Assists the Administration Supervisor in managing the Resource Centre ensuring that resources borrowed are returned on time.
  • Schedules meetings (including virtual meetings) and meeting rooms as required on the Outlook Calendars.
  • Works with the Administration Supervisor to order and take stock of office supplies ensuring that there is always enough supply for the smooth operation of the front office.
  • Continuously works on finding ways to improve administrative processes.
  • Performs front office duties and maintains Office Management procedures including contact information, directions, and frequently requested organization information.

Finance

  • Acts as the finance focal point at the CWS Kasulu office.
  • Manages petty cash and Mpesa transactions under the supervision of the Administration Supervisor and updates the Petty Cash tracking sheet and other accounting records.
  • Receives refunds of unused travel cash advances and any other cash and Mpesa refunds, issues receipts for any refund received and ensures regular and timely recording and accounting of all refunds received.
  • Reviews and ensures that Trip Expense Reports are reviewed and duly signed by the relevant staff supervisors and filed appropriately.
  • Receives invoices and attaches them to payment vouchers (PVs) and also attaches copies of contracts to PVs.
  • Assists in bookkeeping duties working closely with the finance department and the Administration supervisor.
  • Maintains a filing system for the finance documents at the CWS Kasulu office that facilitates easy retrieval of the documents.
  • Assists and organizes relevant documents for the annual audit both internal and external.

Other Functions

Performs other duties as assigned which are designed and developed to improve the operations of the CWS Africa Office

Qualifications:

Experience:

  • Three (3) years of related work experience with increasing responsibilities is required.
  • Experience or certification in accounting and finance is an added advantage.
  • Previous experience working with an International NGO is an added advantage

Skills:

  • Demonstrated strong computer skills, especially MS-Word, Excel, and Outlook
  • Knowledge of office management systems and procedures
