Position Title: Office Administrator

Location: Convoy of Hope-Tanzania Office
Position Summary:
The Office Administrator is responsible for managing the day-to-day administrative operations of the Convoy of Hope Tanzania office. This role ensures the efficient functioning of office processes, provides administrative support to staff, and oversees office facilities and resources. The Office Administrator contributes to creating a positive, organized, and professional working environment aligned with Convoy of Hope’s mission and values.
Key Responsibilities:
- Manage the office’s daily operations, including scheduling meetings, maintaining office calendars, and coordinating logistics for events.
- Maintain accurate and organized records, including correspondence, reports, and other essential documents.
- Provide administrative support to the National Director and other staff as needed, including preparing reports, presentations, and official correspondence.
- Ensure adherence to Convoy of Hope policies and procedures in all office activities.
- Oversee the procurement and management of office supplies, equipment, and services.
Qualifications:
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Additional certifications in office administration or management are a plus.
- Minimum of 3-5 years of experience in office administration or management, preferably in an NGO setting.

Reports To:
The Office Administrator reports to the Tanzania National Director. The Office Administrator will work closely with other field staff and headquarters staff.

Ministry Description 2:
Title: Office Driver
Division: Program
Working Group: Global Program
Reports To: National Director
Ministry Function:
The Office Driver supports the ministry of Convoy of Hope (COH) by working under the leadership of the Finance and Administration Officer to transport people and goods from the COH office to assigned destinations.
Essential Duties and Responsibilities:
- Drive all organizational vehicles with excellence to ensure safety.
- Ensure the general state of each vehicle has been checked before and after use.
- Keep vehicles clean and in good condition at all times.
- Ensure all required documents for the vehicle are valid and safely kept.
- Ensure the availability of tool kit, fire extinguisher, First Aid Kit, and spare tire.
- Carry out routine checks on vehicles and ensure they are sound.
- Perform periodic maintenance on vehicles, such as changing batteries and motor oil at appropriate times, as well as refueling the car.
- Report every case of accident, injury, or damage of vehicles to supervisor.
- Keep all records, including receipts for vehicle maintenance.
- Keep a travel log to record areas traveled to, travel time, and mileage.
- Dress professionally and in accordance with COHT dress code.
- Ensure all statutory documents are available and are current.
- Ensure all necessary tools for the vehicle are available.
- Prepare monthly vehicle report and submit it to Finance and Admin Officer.
- Support the visits of volunteers and teams.
- As a member of the Global Program team, other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Minimum of High school certificate or equivalent, with driving certificate preferred from a country-accredited institution.
- Valid Professional driver’s license required for driving specified office vehicles. At least 3 years of experience driving.
- Fluency in spoken and written English and Kiswahili.
- Physically able to lift up to 50kgs or more.
- Excellent interpersonal skills and ability to work as part of an integrated team.
- Customer service oriented.
- Strong attention to detail.
- Convoy of Hope, including its mission statement and core values, to all outside constituencies.
