Position title: Medical Administrative Assistant
Position grade: G4
Duty station: Kasulu
ORGANIZATIONAL CONTEXT AND SCOPE
Under the overall supervision of the Migration Health Officer (MHO) and the direct supervision of the Chief Nurse, in Kigoma, Tanzania, the incumbent will provide administrative support, clerical services and assistance with the organization of logistical support to the Resettlement Health Assessment Programmes. In particular, she/he will carry out the following
duties and responsibilities:

EDUCATION AND EXPERIENCE
Required
Fluency in both written and spoken English and Kiswahili Languages

RESPONSIBILITIES AND ACCOUNTABILITIES
- Liaise with the IOM office (logistics & procurement, admin and finance) purchase requests and follow up on paper work.
- Prepare and calculate costs on the IOM Official Receipt issued to applicants.
- Liaise with health services providers and arrange the desired and appropriate daily schedule for Medical screening.
- Prepare Medical Forms, Certificates, Appointment Letters and any other necessary list
- Running and maintaining the medical database including data entry, updating and creating backups. Communicate and share data with MHD/Nairobi Health Informatics Unit on a regular basis. Maintaining inventory of the Medicine and Non-Medical Supplies for MHD and ensuring timely information to the supervisor for needed items
- Provide timely transmission of data and information to IOM missions and partners. As
required check the invoices of external medical service providers to MHD and prepare
necessary documentation for processing of payment. - Provide logistical support to the MHD team and MHD visitors in arranging transportation, meetings, assisting with obtaining security clearance, etc.
- Provide informal translations of documents and, if necessary, oral interpretation.
- File in a systematic and orderly manner incoming/outgoing letters, memoranda, emails,faxes as well as IOM documents and forms and provide the same assistance to the office.
- Answer incoming telephone calls to IOM. And also provide secretarial and administrative
support to the office. - Respond non-technical queries from applicants regarding the MHD screening
procedures, their medical schedule, results and other matters, as the need arise. - Follow ethics and confidentiality rules to safeguard the interests of the applicants and IOM.
- Perform any other related duties as assigned by the supervisor

EDUCATION AND EXPERIENCE
- University degree with two years of relevant work experience or Secondary school diploma with four years of relevant work experience in related medical/administrative field.
- Experience in working in an international humanitarian environment and in liaising with a variety of partners at all levels of the hierarchy.
- Excellent communication and negotiation skills.
